Job Openings Guide

Purpose

Create, view, and manage job openings associated with an opportunity in Exceed. Job openings are used to define hiring or staffing needs connected to a specific opportunity, including role details, seniority, skills, salary, hiring team, and publication information.


Before You Start

  • A job opening must be created from inside an existing opportunity.
  • The related opportunity must already exist.
  • You must have access to Opportunities and to the Job Openings tab.
  • Required fields marked with * must be completed before submitting.
  • Some fields may be automatically filled based on the selected opportunity.
  • The available Role Status values are:
    • Active
    • Pipeline

Steps

View Job Openings for an Opportunity

  1. Go to Opportunities.
  2. Open the opportunity from Kanban or Table.
  3. Click Job openings and Tasks if you are viewing the opportunity summary panel.
  4. Go to the Job Openings tab.
  5. Review the job openings associated with the opportunity.
  6. The list displays information such as:
    • Job
    • Seniority
    • Location
    • Practice
    • Status
    • Actions

Create a New Job Opening

  1. Open the related opportunity.
  2. Go to the Job Openings tab.
  3. Click Create New Job Opening.
  4. In Job Opening Details, review or complete the main job opening information:
    • Opportunity
    • Company
    • Is this job opening confidential?
    • Select users that can see this Job Opening
    • Job Title
    • Role
    • Role Status
    • Pipeline Type
    • Requester
    • Department
    • Practice
    • Job Seniority
    • General Technology
    • Request Type
    • Service Type
    • Billing Type
    • Number of Openings
    • Regional Business Unit
    • Currency
    • Salary
  5. Select the correct Role Status:
    • Use Active when the job opening is open and ready to be worked on.
    • Use Pipeline when the job opening is being prepared, planned, or used for future demand.
  6. Complete additional operational fields when available:
    • Optional Region
    • CS Responsible
    • CS Support
    • Are there already consultants onboard?
    • Was there a meeting to align this position?
    • Who joined the meeting?
    • Was the Job Description confirmed?
    • Can we consider PJ for this position?
    • What is the equipment required?
    • Traveling Required?
    • What is the work model requested?
    • Client’s Timezone
  7. In Job Opening Profile, complete the profile information:
    • Job Description
    • Documents
    • Must Have Skills
    • Nice to Have Skills
    • Languages
    • Additional Comments
  8. In Hiring Team, assign the responsible team members:
    • Sourcer
    • Recruiter
  9. In External Information, select Publish Job Opening if the job opening should be published externally.
  10. Click Submit.

Add Documents to a Job Opening

  1. Open the job opening form.
  2. Go to Job Opening Profile.
  3. Click Add File(s) under Documents.
  4. Select the related file.
  5. Confirm the file was added before submitting the job opening.

Add Languages

  1. Open the job opening form.
  2. Go to Job Opening Profile.
  3. Click Add Language.
  4. Select or enter the required language information.
  5. Repeat the process if more languages are needed.

Publish a Job Opening

  1. Open the job opening form.
  2. Go to External Information.
  3. Select Publish Job Opening.
  4. Review the job opening information before submitting.
  5. Click Submit.

Important Rules

  • Job openings must be associated with an opportunity.
  • Required fields marked with * must be completed before submitting.
  • The Opportunity field links the job opening to the commercial opportunity.
  • The Role Status must be either Active or Pipeline.
  • Use Active only when the role is ready to be worked on.
  • Use Pipeline for future, planned, or not-yet-active needs.
  • Confidential job openings should only be visible to selected users.
  • The Number of Openings should reflect the real staffing demand.
  • The Job Description, skills, and language requirements should be clear enough for sourcing and recruiting.
  • Publishing a job opening externally should only be done when the information is reviewed and approved.

Common Issues

Issue: Create New Job Opening button is not available
Likely cause: You are not inside the opportunity workspace or do not have permission to create job openings.
How to solve: Open an opportunity, go to the Job Openings tab, and confirm your access permissions.

Issue: Submit button does not create the job opening
Likely cause: One or more required fields are empty.
How to solve: Review all fields marked with * and complete the missing information.

Issue: Job opening is linked to the wrong opportunity
Likely cause: The wrong Opportunity was selected in the form.
How to solve: Review the Opportunity field before submitting. If already created, edit the job opening or contact the responsible owner.

Issue: Job opening is not visible to other users
Likely cause: The job opening was marked as confidential or visibility was restricted to selected users.
How to solve: Review Is this job opening confidential? and Select users that can see this Job Opening.

Issue: Job opening does not appear as active
Likely cause: The Role Status was set to Pipeline instead of Active.
How to solve: Open the job opening and update Role Status to Active when the role is ready to be worked on.

Issue: Job opening is missing important recruiting information
Likely cause: Skills, language, description, or hiring team fields were not completed.
How to solve: Update the job opening profile with Job Description, Must Have Skills, Languages, Sourcer, and Recruiter.

Issue: Job opening was published with incomplete information
Likely cause: Publish Job Opening was selected before the role details were reviewed.
How to solve: Review the job opening information before publishing and correct missing or outdated details.
