Purpose
View, search, create, review, and update business referrals related to opportunities in Exceed. Referrals help track candidate or business-sourced opportunities that may become active pipeline records.
Referrals can be created in Exceed and may also be created through Engage, another system, when applicable.
Before You Start
- You must have access to the Referrals menu in Exceed.
- Referral records submitted through Engage may become available in Exceed for review and status management.
- Each referral includes opportunity details such as name, website, status, and last activity.
- To update a referral, you must open the referral action from the list.
- Required fields marked with
*must be completed before saving.
Steps
View Referrals
- Go to Referrals > Referrals.
- Review the referral list.
- The list displays information such as:
- Opportunity Name
- Website
- Opportunity Status
- Last Activity
- Actions
- Use the arrow icon to expand a referral row and view more information when available.
- Use the action button to open the referral update form.
Search for a Referral
- Go to Referrals > Referrals.
- Enter the opportunity name, website, contact name, or related keyword in the Search field.
- Review the matching results.
- If the expected referral does not appear, clear the search and try again using another keyword.
Review Referral Details
- Go to Referrals > Referrals.
- Click the action button for the referral you want to review.
- In Business Referral Details, review the available information:
- Opportunity Name
- Website
- Opportunity Description
- Contact Name
- Contact Email
- Confirm that the referral information matches the opportunity being reviewed.
Update Business Referral Status
- Go to Referrals > Referrals.
- Find the referral using the list or the Search field.
- Click the action button for the referral.
- Review the Business Referral Details section.
- Select the correct Status.
- Add Internal Notes explaining the status update or decision.
- Click Save.
Important Rules
- Referrals can be created in Exceed and may also be created through Engage.
- Referral status updates in Exceed should reflect the real review outcome.
- Internal Notes are required and should explain the reason for the update.
- The referral should be reviewed before changing its status.
- Use the referral website and description to validate the business context.
- Contact details should be reviewed before any follow-up action.
- Last activity helps identify how recently the referral was updated or reviewed.
- Referral records should not be updated without enough context or validation.
- If the referral was submitted through Engage, confirm that the information is correctly reflected in Exceed before updating its status.
Common Issues
Issue: Referral does not appear in the list
Likely cause: The referral may not have been created in Exceed, may not have been submitted through Engage, or the search term does not match the referral information.
How to solve: Confirm where the referral was created, then clear the search field in Exceed and try again using the opportunity name, website, or contact name.
Issue: Status cannot be saved
Likely cause: A required field is missing.
How to solve: Confirm the Status field is selected and complete Internal Notes before saving.
Issue: Referral details look incomplete
Likely cause: The referral may have been created with missing opportunity or contact information.
How to solve: Review the available details and add context in Internal Notes when updating the status.
Issue: Wrong referral status was selected
Likely cause: The status was changed without confirming the referral details.
How to solve: Reopen the referral, review the business details, select the correct status, add notes, and save.
Issue: User cannot update a referral
Likely cause: The user may not have permission to update referral records.
How to solve: Contact the system administrator or the referral owner to confirm access permissions.
